Odoo hosting in the UAE: what to look for

A practical checklist for UAE and Gulf businesses choosing Odoo hosting: speed for your users, questions about where data is stored, backups, deploy windows, and what VAT invoicing and Arabic support depend on.

Businesses in the UAE and across the Gulf run Odoo for accounting, sales, inventory, point of sale and HR, often with a partner who adds custom modules. When it is time to choose where that Odoo runs, the offers can look alike on paper. This checklist covers what actually makes a difference, and which questions belong to your hosting provider and which to Odoo itself.

It is written by the team behind Odoo Cloud, an Odoo hosting service for businesses in the UAE and the Gulf. We have tried to keep it useful whichever provider you choose.

1. Speed for the people who use it

Odoo is used all day, by people clicking through lists and forms. Each click is a round trip to the server, so the distance between your users and the server matters more than for a website that is mostly read.

What to check:

  • Where the servers are, and the round-trip time from your offices. Ask for a test address and measure it from where your team works, including branches in other emirates or countries.
  • Workers. A worker is an Odoo process that serves one request at a time. Too few, and people wait for each other at month end. Ask how the plan is sized and how quickly you can add capacity.
  • Point of sale and warehouses. Shops and warehouses often run on weaker connections. Test the screens they use most, at the times they are busiest.

2. Where your data is, and who can reach it

Questions about data location come up more and more, from auditors, from regulators, and from customers who fill in security questionnaires. The rules that apply depend on your business:

  • The UAE has a federal personal data protection law, Federal Decree-Law No. 45 of 2021.
  • Financial free zones have their own data protection regimes, such as the DIFC Data Protection Law and ADGM's Data Protection Regulations.
  • Some sectors, such as health and financial services, have additional rules about where certain data may be stored.

We are not lawyers, and this is not legal advice: ask your legal adviser which rules apply to you. What you can do is make sure your hosting provider answers these questions clearly and in writing:

  1. In which country, and with which infrastructure provider, are the production database and files stored?
  2. Where are the backups kept, and are the offsite copies encrypted before they leave the server?
  3. Who at the provider can access your data, and is that access logged?
  4. Can you download a complete copy of your data at any time?

On Odoo Cloud, databases, files and backups are stored on the servers we operate, and each project is isolated from the others: its own network, and for each stage its own database role, file volume and access key. When offsite backups are configured, every backup is encrypted on the server before it is copied to a second location, so the storage provider only sees encrypted files. 3. Backups you have actually restored

A backup is only worth something once it has been restored. When comparing providers, ask:

  • How often, and for how long? Daily backups kept for weeks or months, not just the last few days.
  • Before every update? A backup taken just before modules are updated lets a failed deploy be undone in minutes.
  • Tested how? A restore test that loads the backup into a database and checks it, on a schedule.
  • Offsite? A copy in a second location protects you from the loss of a whole server.

Odoo Cloud backs production up every day and keeps 7 daily, 4 weekly and 3 monthly backups, about three months of history. An update backup is taken before each module update and restored automatically if the update fails. Every week the newest backup is restored into a temporary database and checked. 4. VAT invoicing and Arabic are Odoo's side

Two requirements come up in every UAE project, and both are handled by Odoo itself, not by the hosting.

VAT. Odoo provides a United Arab Emirates fiscal localization with the chart of accounts, VAT taxes and tax reports. Whether it covers your needs depends on your Odoo version and edition, and it has to be configured and checked by your accountant or Odoo partner. The UAE has also announced an electronic invoicing programme: what Odoo supports for it depends on your version, so ask your Odoo partner and check Odoo's documentation. Your hosting provider should never claim to make you "VAT compliant". What hosting does contribute is a reliable production database, backups kept long enough, and the ability to download your records whenever an auditor asks.

Arabic. Odoo includes Arabic translations and right-to-left layouts for its interface and documents. Install the language in Odoo's settings and test your printed invoices and reports in both languages, especially any custom report templates.

5. A release process that respects your working week

Your team's working hours set the rules for deploying. In the UAE, the working week for government, and for many companies, runs Monday to Friday, with shorter hours on Friday for some; many retail and hospitality businesses never stop.

Look for:

  • A staging copy of production to test each release on real data, with emails caught and scheduled actions off, so a test never reaches a customer.
  • Deploys without downtime when nothing in the database changes. On Odoo Cloud, a push that doesn't change any module version deploys without a database update. When modules are updated, production is stopped for the length of the update, so plan those outside busy hours.
  • Automatic rollback. If an update fails, the update backup is restored and the previous build starts again.

6. Upgrades before end of support

Each Odoo version is supported for a limited time. Plan your next upgrade before your version reaches the end of its support, and rehearse it on a copy first. On Odoo Cloud, a banner appears six months before your version's end of support, and the Upgrade tab lets you test an upgrade on a staging copy before production is touched: Community databases with OpenUpgrade, Enterprise databases through Odoo's upgrade service with your subscription code.

7. Clear pricing and a clean exit

Finally, make sure you understand the bill and how you would leave:

  • What you pay for (workers, storage, staging environments) and what is included.
  • Whether the Odoo Enterprise licence is part of the price. With Odoo Cloud it isn't: you buy it from Odoo S.A. and register the code inside Odoo. Odoo Community needs no licence.
  • Whether you can download a standard Odoo backup that restores anywhere. With Odoo Cloud you can, at any time.

A short checklist

  • Latency measured from your offices and shops
  • The hosting region, in writing
  • Isolation between customers, and audit logs
  • Daily backups, update backups, weekly restore tests, encrypted offsite copies
  • VAT and Arabic tested in your own Odoo, with your accountant or partner
  • Staging on real data, rollback on failure, a plan for upgrades
  • Pricing you understand, and an exit you have tried
